This conference will be held in-person format only.

Registration Fees

All presenters (including students who are also presenters) are required to register by Friday, April 4, 2025.
Individuals who are members of organizations supporting EVTeC2025 can register for participation at the same rate as JSAE members.
Please click here to find who is a eligible member and enter the abbreviation of the organizations with the membership number.
e.g. JSAE, XXXXXXX, ECSJ, XXXXXXXX
One registration can cover one paper. Each accepted paper must be covered by at least one registration.
Student rate is applicable only to those who have student status at the time of the conference.
Students are required to submit a scanned copy (jpeg/pdf) of their student ID or student certificate letter from their supervisors via online registration form. Please be advised that student rate will not be applied for students who have full time job.
Consumption tax (10% ) included in the fees above.

HOW TO REGISTER?

1. Register “EVTeC2025” via the registration system.
2. After completion, you will receive an email with “Registration ID” from the secretariat. *Please note that this will take a few days to process.
3. Enter the “Registration ID” in the registration form of the 2025 JSAE Annual Congress (Spring).
4. Registration Completed! You are able to join the 2025 JSAE Annual Congress (Spring) without any additional fees.

We are planning to have a reception party on Day 2. Seating for the party is first come, first served.

Invoice and Receipt

Invoices and reciepts can be generated from your registration account.

Recording

All Participants except an official photographer are NOT allowed to take photos or screenshots of any live presentation.

The official photographer will be present at the venue to take pictures for recording. Please note that the pictures will be published at the website and used for other communications activities after the event.

Cancellation Policy

Notice of cancellations must be made in writing to the secretariat (evtec2025@ec-mice.com). The following cancellation fees will apply, based on the date when the office receives your cancellation notification. "No Shows" are not eligible for a refund. We regret that we cannot offer refunds for "No Shows onsite or online"; however, substitute attendees are welcome.

No refunds will be made for cancellations received after May１, 2025.

Invitation Letters for Visa Application

If you need an invitation letter in order to apply for a visa to enter Japan, you MUST complete your registration with payment to this conference. Then, please contact the secretatiat with your registration ID. You will be given an application form for the invitation letter which you should fill in and submit to the secretariat. After you submit the form, you will receive the invitation letter by international mail service in 1-2 weeks. The procedure is subject to change according to the Japanese Government's policy
